Terms of Service

Cephalo.bot is a Mac application paired with a backend service that lets an AI participant join your Zoom meetings and respond when addressed by name. You bring your own Anthropic API key and pay Anthropic for the underlying model usage.

We may add, change, or remove features over time. We try to avoid breaking changes, but we don’t guarantee any particular feature will continue to exist in its current form.

You must be at least 16 years old to use Cephalo.bot. By signing in, you confirm that you are. If you’re using Cephalo.bot on behalf of an organization, you confirm that you’re authorized to bind that organization to these terms.

You sign in with Google. You’re responsible for keeping your Google account and your Cephalo.bot session secure; actions taken under your account are treated as taken by you. If you share a workspace with teammates, every member with the workspace selected is acting under that workspace’s Anthropic key — both billing and access to captured data are shared.

Don’t share session tokens, API keys, or service-account keyfiles outside your team. If you suspect a credential is compromised, rotate it from the dashboard.

You agree not to:

• Use Cephalo.bot in meetings where it’s inappropriate to do so. You’re responsible for knowing whether the jurisdiction and the other participants permit an AI participant to listen, respond, or capture content. Many places require explicit consent to record or transcribe.
• Use Cephalo.bot to harass, deceive, or harm other people, or to violate Anthropic’s usage policy or Zoom’s terms of service.
• Probe, reverse-engineer, scrape, or attempt to disrupt Cephalo.bot or its underlying infrastructure.
• Resell access to Cephalo.bot or use it on behalf of a third party without their knowledge.

We may suspend or terminate accounts that violate these rules.

You retain ownership of the content from your meetings — transcripts, captured action items, decisions, notes, and visuals rendered in Claudia’s tile. We process this content on your behalf to provide the service. We don’t sell it, share it with advertisers, or use it to train models.

Cephalo.bot is currently free to use. The model usage that powers Claudia’s replies is billed by Anthropic against the API key you provide; we don’t mark up that cost or collect a subscription fee from you. If we introduce paid features in the future, we’ll surface pricing on the dashboard before you incur a charge.

Cephalo.bot is provided “as is” and “as available.” We make no warranties — express or implied — about uptime, accuracy of what Claudia says, fitness for any particular purpose, or the results you obtain from using the service.

Treat anything Claudia transcribes, captures, or summarizes as a draft and not a system of record. Verify important information before acting on it.

To the maximum extent permitted by law, Cephalo.bot is not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the service — including lost profits, lost data, or business interruption. Our total liability for any claim arising from these terms or your use of Cephalo.bot is limited to the greater of (a) the amount you paid us in the twelve months before the claim arose or (b) one hundred US dollars.

Some jurisdictions don’t allow these limitations, in which case they apply only to the extent permitted.

You can stop using Cephalo.bot at any time. To delete your account and the data associated with it, sign in and use Delete account on the Settings page. Workspaces you co-own with other members stay intact — you’re removed from membership; workspaces you solely own are deleted along with their data. Account deletion is irreversible.

We may suspend or terminate access to Cephalo.bot at any time if you violate these terms or if continued operation poses a risk to other users or the service.

We may update these terms as the product evolves. Material changes get a notice on the dashboard and a refreshed effective date at the top of this page. Continued use after a change means you accept it.
